Service Agreement and User Responsibilities

By using RocketReply’s lead response automation services, you agree to these terms and conditions. Our automation system is designed to respond to incoming inquiries, engage leads via email and WhatsApp, and move prospects toward conversion on your behalf. You are responsible for providing accurate business information, including your services, pricing, tone preferences, and any specific instructions for handling prospect inquiries. You must ensure that your use of our services complies with all applicable laws and regulations in your jurisdiction, including anti-spam and marketing communication laws. Any misuse of our automation for illegal activities, spam, or fraudulent purposes will result in immediate service termination. You retain full responsibility for all business decisions and customer relationships that result from our automated responses or engagement actions.

Lead Response and Data Collection

Our automation system collects and processes inquiry data to provide effective service, including prospect information, form submission content, email inquiries, and engagement patterns. This information is used to craft personalized responses, engage leads across multiple channels, track response metrics, and generate analytics reports about your engagement performance. We collect only the information necessary to deliver our services effectively, including prospect names, email addresses, phone numbers when provided, inquiry details, and business-related questions. All lead data and response messages are stored securely and used solely for service delivery, engagement optimization, and generating insights for your business. We do not sell or share your lead data with third parties for marketing purposes.

Privacy Protection and Data Security

We implement industry-standard security measures to protect all lead data and prospect information processed by our automation system. Your lead data is encrypted during transmission and storage, with access limited to authorized personnel only. We maintain compliance with applicable privacy regulations and industry best practices for data protection. Our automation systems are designed to handle sensitive information appropriately, including automatically detecting and protecting personally identifiable information during message processing. We regularly update our security protocols and conduct audits to ensure the highest level of data protection. In the event of any security incident, we will notify affected customers promptly and take immediate corrective action.

Service Modifications and Updates

  1. We continuously improve our automation system with new features, enhanced personalization capabilities, and better integration options
  2. Service updates may include improvements to response messaging, engagement tracking, multi-channel coordination, and conversion optimization features
  3. Major changes to our service terms will be communicated at least 30 days in advance via email notification
  4. Pricing changes will be provided with 60 days notice, and existing customers will have the option to maintain current rates for the duration of their contract period
  5. Technical improvements and bug fixes are implemented automatically to ensure optimal service performance

Service Limitations and Liability

While our automation system is highly effective, it may occasionally require human intervention for complex inquiries or unusual situations. We cannot guarantee that every inquiry will be handled perfectly, and you maintain the right to review and customize any automated responses or engagement strategies. Our liability is limited to the monthly service fee paid, and we are not responsible for lost business opportunities, prospect dissatisfaction, or other indirect damages. We provide service level agreements for response delivery and uptime, with credits available for service interruptions. You acknowledge that automation, while powerful, may not handle every situation exactly as a human would, and you accept this limitation as part of the service.

Contract Terms and Cancellation Policy

Service contracts are typically month-to-month with a 30-day notice period for cancellation. Setup fees are non-refundable, as they cover the cost of configuring your automation and integrating with your business systems. You may cancel at any time with written notice, and service will continue until the end of your current billing period. All data and response records will be made available for download for 90 days following cancellation, after which they will be securely deleted. If you wish to pause service temporarily, we offer suspension options for up to 6 months while maintaining your automation configuration and template data.
